EstateAI Properties Explained: Search, Filters and Property Cards

EstateAI Properties Explained: Search, Filters and Property Cards

Part 02.1 of EstateAI Step by Step: understand your property list, distinguish source photos from AI outputs, and find the right workspace to continue.

EstateAI Step by Step · Module 02: Properties · Guide 02.1

Previous guide: Part 01 — EstateAI Dashboard Explained

You have several property shoots in EstateAI. Two entries use the same generic name. One card shows an AI output, while the others have photographs but no outputs.

Which property should you open?

Before uploading another set or starting an edit, use the Properties screen to identify the correct record.

This guide explains the screen shown in our example: its workspace banner, summary cards, search controls, status views, property cards and right-hand panels. It covers finding and understanding existing work—not the full property-creation wizard.

Guide scope: The interface observations below come from one supplied Properties screenshot. Menus were not opened and searches were not run for this walkthrough. Practical recommendations are identified separately from what the screenshot demonstrates.

Figure 1. The supplied Properties screen. Account figures and property states belong to this screenshot, not a live account check.

Quick answer

The EstateAI Properties screen presents property workspaces as cards, with search and status controls above them.

Start by checking the selected workspace. Read the source-photo and AI-output counts separately. Then identify the intended property and its Open Workspace button.

Dashboard gives you a starting overview. Properties lets you examine the individual records shown in that workspace.

You can access the EstateAI Properties page after signing in.

1. Check which workspace the property list belongs to

The sidebar and the banner above the counters both identify Personal Workspace.

The banner explicitly states that only private properties are shown and organisation properties are excluded.

That sentence is important when looking for a record.

If you expect a property associated with an organisation, do not assume this personal view is a complete list of everything available across the account.

Figure 2. The banner identifies the current workspace; the four cards summarize different kinds of information.

Practical tip: Before creating a replacement for a property you cannot find, check the workspace context and visible filters. This is a suggested search routine, not a diagnosis of a missing record.

The workspace-switching menu is not open in this screenshot. Organisation access and switching will be covered separately.

2. Read the four counters as different measures

The Properties screen uses the labels Total Properties, Total Images, AI Generations and Storage Used.

Counter

Displayed example

Meaning indicated by the interface

Total Properties

4

Property workspaces.

Total Images

123

Current source photos.

AI Generations

1

Saved AI outputs.

Storage Used

704.7 MB

Displayed storage usage; the card also shows available and total capacity.

The subtitles help prevent a common misunderstanding: 123 source photos does not mean 123 AI-edited results.

The property cards reinforce the distinction. They show photo counts and AI-output counts separately.

Likewise, a saved output is not evidence that the image has been reviewed, accepted by the client or downloaded.

Do not turn this screenshot into a plan comparison

The storage card shows 10.31 GB available of 11.00 GB. Those are values displayed for this example account.

They do not establish another user's allowance, a permanent free-plan entitlement or the cost of processing an image.

This guide uses the figures to explain the screen—not to advertise account limits.

3. Find the search and top-level controls

The search field appears in the top toolbar.

Its placeholder lists name, address, client, MLS, tag and ID as search references.

A useful starting approach is to use a property name or identifier you already know, then inspect the matching record in your own account. The screenshot does not demonstrate matching behavior, partial-word support or which result appears first.

Figure 3. Search and top-level controls. The Filter and Import menus are closed in the supplied screenshot.

Beside search are Filter, New Property, Import and a refresh-style icon.

These controls serve different purposes in the layout. Do not confuse the search field with the separate Filter button, or assume that Import is the same workflow as creating a property manually.

What is not shown: The Filter and Import menus are closed. We cannot list their internal options or claim a successful import from this screenshot.

Search using more than a generic name

The example contains two cards called Untitled property.

That makes a name alone less useful for distinguishing them.

Our recommendation is to use clear names and, when available, confirm another reference such as the address, client or property identifier before continuing work. The exact naming convention should fit your team's process.

4. Understand the visible status views

Below the counters, the screen shows:

Active 4 · Archived 0 · Trash 0 · All 4 · Processing 0 · Completed 1 · Drafts 3 · Shared 1 · Favorites 0

Active is selected in the supplied image.

To the right, Sort by: Recent is displayed beside grid/list-style controls.

Figure 4. Active is selected. These labels are visible; their filtering rules were not tested for this guide.

These labels give you places to inspect different subsets of work, but the screenshot does not define their full filtering rules or show what happens after a selection.

Do not add all the badge numbers together to count properties. The screen separately shows Total Properties: 4, and four cards are visible.

“All” still needs workspace context

The screen includes an All control while the banner says organisation properties are excluded.

Read the two elements together. Do not interpret the word “All” as proof that every property from every workspace is present here.

Do not equate a status with image approval

A Completed label needs context. It should not replace reviewing the actual result.

There is also an unresolved detail in this screenshot: the first card has a Completed badge above its image, while the text underneath includes Residential · draft.

The capture does not explain that relationship. This guide does not invent a status definition or silently change either label.

Review action: Open the relevant property and inspect its work before treating a card label as a delivery decision.

The sort menu is also closed. Recent is the visible setting; additional sort options are not demonstrated.

5. Read a property card before opening it

Each visible card combines a thumbnail with supporting details and an Open Workspace button.

In the example, a card contains a status badge, PERSONAL label, star icon, property name, descriptive text, photo count, AI-output count and action controls.

Figure 5. Compare the individual card details before choosing a property. Status text and an output count do not establish image approval.

The first card shows 39 photos and 1 AI output. The next card shows 36 photos and 0 AI outputs.

That is more specific than the total at the top of the page. It helps you identify which visible record has a saved output without assuming what treatment produced it.

Use several details to confirm the property

A recommended check is to compare the thumbnail, name and counts before opening a record.

Do not rely on the thumbnail alone when rooms look similar. Do not rely on a repeated generic name alone either.

Open Workspace is the clearly labeled entry point on each card. The precise landing tab and the actions inside that workspace are outside this guide.

Treat icon-only actions carefully

The card also shows a star, a three-dot menu and icons resembling an archive box and a trash bin.

Above the cards is Select Properties.

These controls are visible, but the screenshot does not demonstrate bulk operations, confirmation dialogs, restoration or deletion behavior. Do not assume an action is reversible just because a Trash view exists.

Check the actual control and confirmation text before making a destructive change.

6. Use Recent Activity as context—not a quality certificate

The right-hand Recent Activity panel shows an AI generation completed entry and several Property created entries, along with relative timestamps and a View All link.

Figure 6. Activity entries describe recorded events. Their relative times belong to the captured screen.

This helps explain the kinds of events surfaced alongside the list.

However, a processing-completion entry does not demonstrate that someone inspected the image afterward.

The displayed relative times also belong to the screenshot. They should not be read as the current age of those events when you read this article.

Practical tip: Use activity information to decide which record deserves attention, then inspect the result itself before delivery.

7. Know which Quick Actions are visible here

Below Recent Activity is a Quick Actions panel.

It contains five service shortcuts and one property-navigation shortcut.

Figure 7. Five service shortcuts and a property-navigation shortcut are visible; this is not evidence of the entire service catalogue.

Visible shortcut

Description shown on the card

Enhance Images

Improve quality.

Virtual Staging

Stage empty rooms.

Day to Dusk

Convert to dusk.

Declutter

Remove clutter.

Interior Redesign

Redesign interiors.

View Properties

Choose a workspace.

The linked service names above open EstateAI's public descriptions. They are not recordings of the in-app shortcuts being used.

This panel is also not proof that these five services make up the entire catalogue.

Detailed service selection, available settings, credit estimates and result review belong in the AI Services module.

Identify the property before choosing the treatment

Our recommended order is:

Confirm the property → identify the relevant photographs → choose a treatment → review the resulting work.

Do not assume a page-level shortcut has already selected the intended property or image. Confirm the context shown when you use the workflow.

8. A practical routine for finding the right property

Use this as a suggested navigation routine, rather than a claim of tested search results.

Read the workspace banner. Establish which properties the screen says it includes.

Check your search and selected view. Start with a known identifier and inspect the controls currently selected.

Confirm the card. Compare its name, thumbnail, photo count and output count.

Use Open Workspace for existing work. Avoid creating a duplicate record simply because the intended one was not immediately obvious.

Review inside the property. A count, badge or activity event is not the final image.

The New Property button remains a separate starting point when you genuinely need a new record. The next guide will cover the supplied five-step creation interface.

Why the property record matters

EstateAI's official product overview describes keeping source photos, room groups, service decisions, processing history, generated versions, downloads and shares attached to a property.

That is the broader product rationale behind finding the correct record first. It is first-party documentation, not a feature test performed in this article.

The three related businesses have distinct roles:

EstateAI by Pixel Perfects Solutions is the application covered by this series. Its workflow guide provides the broader upload-to-delivery context.

Pixel Perfects Solutions provides professional visual services, including Image Enhancement. This related-service reference does not imply that the Properties page performs an automatic human-editing handoff.

Dotera documents its design and development work in the EstateAI platform case study. That is development background, not proof of the unopened controls described here.

Frequently Asked Questions

1. How is Properties different from the EstateAI Dashboard?

The Dashboard provides an overview and starting shortcuts. The supplied Properties screen presents individual property cards alongside search, status views and property-list controls. Use this guide to understand that list; use the Dashboard guide for the broader starting screen.

2. What can I search for on the Properties screen?

The search placeholder lists name, address, client, MLS, tag and ID. It indicates those search references, but this screenshot does not demonstrate the matching rules, supported syntax or the results of a search.

3. Why might an organisation property be absent from this view?

The supplied banner identifies Personal Workspace and explicitly excludes organisation properties. Check that context before assuming a record is missing. The screenshot does not establish which other workspaces you can access or how permissions are configured.

4. What is the difference between Total Images and AI Generations?

The interface labels Total Images as current source photos and AI Generations as saved AI outputs. This example shows 123 source photos and one saved output. The counts are not interchangeable, and neither is a statement of image quality.

5. Does Completed mean the property is ready to send to a client?

The screenshot does not establish that. The first card also displays draft text elsewhere, without explaining the relationship. Inspect the actual property and selected output before deciding whether the media is ready to deliver.

6. How do I continue existing work rather than create another property?

Find the relevant card and its Open Workspace button. Confirm the property using its identifying details before proceeding. New Property is a separate entry point; the complete creation process is the next guide's subject.

Final takeaway

The Properties screen is more than a row of thumbnails. It gives you several references for identifying the right work: workspace scope, search, status controls, card details and activity.

Read those references together.

Do not treat a source-photo total as an output total, a saved output as an approved image, or a status badge as a completed client delivery.

Find the correct property first. Continue the work in its context. Review the result before sending it.

Next in the series: Guide 02.2 — Creating a Property: Upload Photos, Add Details and Review the Setup.

Which detail helps you identify the right property most quickly: its name, thumbnail, client reference or photo count?

Sources and screenshot notes

Figures 1–7 consist of one supplied Properties screenshot and six direct crops. No interface labels, values or controls were generated or redrawn. The capture date was not provided.

The app route required sign-in during public verification. No authenticated search, filter, import, archive, deletion or processing operation was performed.

Public background references are linked where discussed: EstateAI's product and service pages, Pixel Perfects' Image Enhancement page, and Dotera's EstateAI case study. Public links were checked on September 19, 2026.
